No confirmation email? How we prove an application went in
ApplyingTransparency
A missing confirmation email is common
CoolMind wrote this article. Every outside page it cites was checked on October 9, 2026, and the sources are listed at the end.
You pressed Submit, the page changed, and your inbox stayed empty. Did it go through? Should you apply again?
A missing email on its own doesn't mean the application failed. On Greenhouse, whether one goes out at all is each employer's choice. Its help center says organizations "can configure job posts to send confirmation emails", and adds: "However, some organizations opt not to send these confirmation emails." If you didn't get one, it tells you to contact the recruiting team of the company you applied to (Greenhouse: I applied to a job post, but I didn't receive confirmation, page updated June 13, 2022).
So first check your spam and promotions folders, and search your inbox for the company's name. Then look at better evidence than an email: the page you saw after submitting, and the employer's candidate account.
How to check for yourself
Read the page you saw after Submit
A real confirmation names your application, and the form is gone. Typical wording: "Thank you for applying", "Your application has been submitted", "We've received your application". iCIMS's candidate guide describes the same ending: once the process is complete, a new page with a confirmation message says the application was submitted successfully (Candidate Guide to iCIMS Career Portals, no date shown).
Some wording looks like a confirmation and isn't. CoolMind's own check is written to tell these apart:
- "Thank you for your interest in careers at …" often sits on the form itself, before anything has been sent.
- "Once your application has been submitted, …" is an instruction, not a confirmation.
- A confirmation can flash by. In September 2026 we saw an employer's Greenhouse form show "Thank you for applying. Your application has been received." and then go back to the job posting, which said nothing.
If you see a confirmation, take a screenshot before you close the tab.
Look in the employer's candidate account
- Workday. If the employer uses Candidate Home accounts, you can sign in on that employer's career site to view your active and inactive applications, monitor their status and withdraw. The employer configures these features (Workday Education: Prospects and Candidates, page updated July 10, 2026).
- iCIMS. Your candidate Dashboard at that employer shows a summary of your past job submissions, and may let you withdraw one. What's available depends on the company (the iCIMS guide above).
- Greenhouse. MyGreenhouse shows an application only if the company shares it. It may not appear if you applied through LinkedIn, Indeed or another third-party site, or with a different email address. "Companies decide which updates to share" (MyGreenhouse FAQ for Candidates, page updated October 2, 2026).
Ask the employer, not the hiring system
The companies that make these systems can't check your application for you. Lever says plainly: "we can't help you apply for jobs or check application status", and sends you back to the company (Lever Job Seeker Support). Both Greenhouse pages above also send you to the employer. Write to the employer's recruiting team instead.
Don't apply twice without checking
If the first application went in, a second one can end up as a duplicate at the same company, or be refused because you've already applied. Check the page, your inbox and the candidate account first. MyGreenhouse suggests applying again in one case: you used the wrong email address and the posting is still open.
When CoolMind counts an application as sent
CoolMind fills in and submits applications on the employer's own site, so it faces the same question after every Submit. Its rule: an application counts as sent when the employer's page confirms it, or the employer emails a confirmation. It confirms in one of three ways, and the receipt tells you which one:
- The page's own words. After submitting, the page names the application and the form is gone. A fixed rule decides this, using wording like the examples above; a "thank you for your interest" line on the form doesn't count. The receipt quotes the words: The page said "…".
- A separate check of the page. When the page is less clear, a separate check, not the one that filled in the form, reads what the page showed after submitting, including a confirmation that flashed by. It counts only when it quotes words that were actually on the page. The receipt says: "The page after submitting confirmed it".
- A confirmation email, only when the page didn't already confirm it. It arrives at the address your applications give employers: your CoolMind address by default, or your Gmail if you connected it. CoolMind looks only at mail from that application's own senders (the job page's domain, the hiring system's mail domains and the employer's domain), reads only the sender, subject and preview, never the body, and doesn't wait long. The receipt says: "A confirmation email arrived from" the sender's domain.
Anything else counts as not sent. "Not sure" is never a receipt. A credit is used only for an application the employer confirms; while one is being sent, a credit is held, and it goes back if the application doesn't go through.
This cuts both ways. When the page says nothing clear and no email comes, the application might still have reached the employer; we count it as not sent rather than charge you for something we can't show. If a form ran out of time without a confirmation, your dashboard says to check the employer's site before applying again.
Connecting Gmail is optional: with your CoolMind address, all three ways work the same.
What's in a receipt
Every application CoolMind sends has an Application receipt. It shows:
- the company, the role and when it was sent;
- the status: "Delivered to the employer's application system";
- how we know it went in: one of the three reasons above, with the quoted words or the sender's domain (applications sent before receipts began recording this don't show it);
- a link to the confirmation page (when the page confirmed it) and to the original job posting;
- a reminder that any confirmation email from the employer goes to your own inbox.
By default, the receipt also holds the proof:
- Confirmation page: a screenshot of the employer's page right after your application went in, as we saw it. There's one when the confirmation was still on screen to capture; an application confirmed by email has none.
- Recording: a video of the whole application, from opening the form to the end.
- What we wrote for you: the cover letter, if one was written, and each answer written for this application rather than copied from your profile, with its question, exactly as sent in English.
While an application runs, you can watch it live and take over: click and type in it, for example to finish a verification step yourself. Closing the window doesn't stop it.
"By default" matters here. Proof and live viewing start out on for every account, and we can switch them off for an account; recording starts out on, and we can switch it off for everyone at once. So we don't promise that every receipt has a recording.
What's kept, and for how long
- Your application history (company, role, status, time, and why it counts as sent) stays until you delete your account.
- The screenshot and what we wrote expire after a set period. The receipt itself says how long, and so does How CoolMind works.
- Recordings expire after a set period too, given in the privacy policy. One stays until then even if you delete your account, and can't be deleted sooner.
- The posting in a receipt is shown as it is now, not a copy from the day you applied. If the employer edits the title, the receipt can change with it. Save the job description yourself if you'll want it for an interview.
- A confirmation email stays in your own inbox: one sent to your CoolMind address is forwarded there. As the reason an application counts as sent, CoolMind keeps only the sender's domain and when it arrived, never its text; the message at your CoolMind address is kept only a short while, then deleted, as the privacy policy says.
When it didn't go through
An application that didn't go through uses no credit. Your dashboard gives one plain reason and what you can do next. Some of them:
| What the dashboard says | What you can do |
|---|---|
| This job has closed and isn't taking applications | Nothing; it's over |
| The form requires an answer your profile doesn't have, and we won't make one up | Add it to your profile, then send it again |
| We couldn't pass the site's human check | Apply to this one yourself |
| The site needed a code from your email, and we couldn't get it this time | Send it again; if your Gmail connection has lapsed, reconnect it or switch to your CoolMind address first |
| The employer says you've already applied to this job | Nothing; it's already there |
| The form wasn't finished in time, and the page didn't confirm it | Check the employer's site before applying again |
Your applications have a mailbox we can read from the start, your CoolMind address, so an employer that emails a verification code is applied to like any other. The exception is a Gmail connection that has lapsed: then an employer known to email a code isn't attempted at all. That application waits as "On hold · waiting for your mailbox", uses no credit, and goes back in line on its own once you reconnect Gmail or switch to your CoolMind address. Why employer sites ask for accounts and email codes in the first place is in Why Workday makes you create an account for every company.
