CoolMind Terms of Service

Effective date: 2026-10-21

These terms are an agreement between you and Dongyu Jia, an individual who operates CoolMind (coolmind.ai) ("CoolMind", "we", "us"). By creating an account or using CoolMind, you agree to them. If you do not agree, do not use CoolMind. Our Privacy Policy explains how we handle your information and is part of these terms.

Questions: [email protected]

1. What CoolMind does

CoolMind finds US job openings that fit the preferences you set, and submits job applications to employers' hiring systems in your name. You choose how:

  • Full auto (全自动): each day we pick new openings that fit your preferences, score how well each one fits you, and apply to the ones that clear your bar, without asking you first.
  • I'll review (我来把关): we apply only to the openings you choose.

Your dashboard shows every application: whether it was sent, what we wrote for you, and, where available, a receipt from the employer.

2. Who can use CoolMind

You must be at least 18 years old and able to enter a binding agreement. You may have one account, for yourself. You may not use CoolMind to apply to jobs for anyone else. You are responsible for keeping access to your account (your Google sign-in) secure, and for what is done through it.

3. What you authorize us to do

By using CoolMind you authorize us, as your agent for this purpose, to:

  • fill in and submit job applications in your name, with the information in your profile and résumé;
  • write answers to open questions (for example "Why do you want to work here?") and cover letters for you, from your résumé, your profile, the job's description and your own answers to common questions;
  • give employers, on the applications we submit, the CoolMind address we make for you (or your Gmail address, if you connect Gmail), receive the email sent to that CoolMind address, and forward it to the address you sign in with;
  • create or sign in to candidate accounts on employers' hiring sites with the email address your applications give and the password you set in CoolMind for that purpose, and, where a site offers it and we can read its reset email, reset that password once on the employer's own site back to the same password;
  • read the emails that an application needs, in your CoolMind address or the Gmail you connect, only as our Privacy Policy describes.

You can switch between Full auto and I'll review, change your preferences, or choose between your CoolMind address and Gmail at any time, and stop an application in progress from your dashboard (once a day).

4. Your information must be true

Everything we send is in English and comes from you: your profile, your résumé and your own answers. You agree that:

  • the information you give us is true, current and yours to give, and you will correct it when it changes;
  • you have the right to use the résumé and other files you upload;
  • you are responsible for the applications submitted in your name on the basis of what you gave us.

We never make up a fact about you. When an application form requires something your profile and résumé do not give (for example a postal code), we stop that application and ask you to add it, instead of guessing. Equal-opportunity questions (gender, race, veteran status, disability) are answered "decline to answer", or left blank where the form offers no such option.

5. Credits and payment

  • New accounts receive a number of free credits; an email address that received them in the past year does not receive them again.
  • One credit is used for each application the employer confirmed it received (on its own page or by a confirmation email). An application that failed, was not sent, or that you stopped uses no credit. Your dashboard shows which applications used one, and why.
  • When you have no credits left, applications pause until you buy more. Scoring continues for a while, until a backlog of scored jobs is waiting to be sent or a set number of jobs has been scored since your credits ran out; then scoring pauses too, and both resume when you buy credits. Your dashboard says when this happens.
  • Credits are separate from your daily pace. Each day (US Pacific time) we score and send up to a set number of jobs for you, whatever your balance. Reaching the day's pace is not running out of credits: sending resumes the next day, with nothing to buy.
  • Credits are sold in packs at the prices shown before you pay. Payments are processed by our payment provider; we do not receive or store your card details.
  • Credits are valid for 180 days. Each grant of credits — a pack you buy, the free credits for a new account, credits from a referral code, or credits we add to your account — is valid for 180 days from when you receive it; credits from it not used by then expire, and your Credits page shows when yours do. For expiry, the credits soonest to expire count as used first. A credit held by an application in progress is not taken away while that application runs.
  • Referral credits. When someone new signs up with your referral code, you each receive referral credits, and more when they first buy credits (or when they use the code, if they bought before); each code gives credits for a limited number of sign-ups. Your Credits page shows the numbers, which we may change for future sign-ups and purchases. An account can use one code — before its profile is set up, or within a short period after signing up, as the Credits page and the rules page say — and never its own. Referral credits, like the free credits for a new account, have no cash value.
  • Credits are not refunded. Credits you buy are not refunded, whether you have used them or not, and credits cannot be exchanged for cash or transferred. Deleting your account deletes its credits, including unused ones you bought.
  • If you are not satisfied, or believe you were charged in error, write to [email protected] and we will look at it case by case. Where the law gives you a right to a refund, we honor it. If we refund a purchase, its refunded credits leave your balance, and while that refund is still going through your account cannot be deleted.
  • While a payment dispute (a chargeback) on one of your payments is open, the unused credits of that purchase are held and cannot be used; they come back if the dispute is decided in our favor or withdrawn.

6. Acceptable use

You agree not to:

  • give false information, impersonate anyone, or apply in someone else's name;
  • use CoolMind for anything unlawful, or to harass, spam or mislead employers;
  • try to access other people's accounts or data, probe or break our security, or overload the service;
  • copy, resell, or build a competing service from CoolMind, or reverse engineer it except where the law allows;
  • use CoolMind in a way that breaks the terms of a hiring site you have agreed to.

7. Other companies' services

Applications go to employers' own hiring sites, which have their own terms and privacy policies. Signing in uses Google; payments use our payment provider; if you connect Gmail, Google's terms apply to your Google account. We are not responsible for those services.

8. Ending your account

You can delete your account at any time from the Account & data page; our Privacy Policy explains what is deleted and when. We may suspend or close an account that breaks these terms, harms others, or puts the service at risk, and we will tell you why unless the law or security prevents it. We may change or stop parts of the service; if we stop CoolMind altogether, we will tell you in advance where we can.

9. Disclaimers and limitation of liability

CoolMind is provided "as is" and "as available", without warranties of any kind, to the extent the law allows. To the extent the law allows, we are not liable for indirect, incidental, special or consequential damages, or for lost opportunities, wages or profits, and our total liability for any claim relating to CoolMind is limited to the greater of the amount you paid us in the 12 months before the claim and US$50. Some laws do not allow these limits; where they do not, they apply only as far as the law permits.

You agree to hold us harmless from claims by others arising from information you gave us that was not true or not yours to give, or from your breaking these terms.

10. Changes to these terms

We may update these terms. We will post the new version here with a new effective date, and tell you by email or on the site before a material change takes effect. If you keep using CoolMind after that, the new terms apply.

11. Governing law

These terms are governed by the laws of the State of California and applicable US federal law, without regard to conflict-of-law rules.
