How CoolMind works
How we pick, score and apply to jobs for you, and how the daily allowance and credits work: the rules in force now, with numbers that update as soon as they change.
Two ways to apply
Illustration
- Full auto: every day we pick jobs by your preferences, score them, and apply to those that clear your minimum match score, without asking each time.
- I'll review: we pick jobs only when you tap "Refill now"; scored jobs wait for your OK, and we apply only to those you've approved or added yourself.
How jobs are picked
Illustration
- By your preferences: target roles (several, or a kind of job such as Office & admin), cities (plus any nearby towns you chose), one or more industries (the hiring company's own), level (the levels next to yours too, unless you turn that off), minimum salary (if you set one), companies you won't apply to, and how recently the job was posted.
- By default we look at jobs posted in the last 3 months; you can narrow that to the last 30 days or the last 7 days or the last 3 days in your preferences.
- On Full auto, your first picks of the day come after midnight US Pacific time.
- As jobs leave your line, we pick more once 300 minutes have passed since the last pick.
- If nothing is left in your line, we pick more after 60 minutes.
- At most 50 of your jobs are in play at once (waiting for a score, for your OK, to be sent, or being sent); when full, we pick no more until there's room.
- When fewer than 30 new jobs fit everything you asked for, we add some from around your cities and from a little further back.
- "Refill now" is there any time, with at least 30 minutes between two presses in a day.
- At one company, within 180 days: at most 3 applications on Full auto, and at most 5 that you add or approve yourself.
- Search lists at most 100 jobs, newest first.
How scoring works
Illustration
- Every job we pick is scored 0–10 against your résumé, profile and preferences, with written reasons.
- Your minimum match score is 5 by default; you can raise it, or set no minimum, in your preferences.
- Jobs that clear it are queued to be sent on Full auto, or wait for your OK on I'll review.
- Jobs below it go to "Won't apply"; you can still bring one back with "Apply anyway".
- Jobs at companies you won't apply to score 0 straight away and don't use your scoring allowance.
- In line, jobs you added yourself or brought back with "Apply anyway" go first, then the highest scores; on a tie, the job picked first goes first.
How applying works
Illustration
- Every application is filled in and submitted fully automatically, in our own browsers in the cloud: nothing to install and nothing running on your computer, so it goes on with this page closed.
- When there's room, we send up to 5 of your applications at once, everyone's first before anyone's second; each usually gets at most 30 minutes.
- Applications sent at the same time never share an employer or a hiring system, so their codes and confirmation emails can't be mixed up.
- Some hiring systems take longer, so applications there get more: Workday 45 minutes.
- Every application is filled in in English from your résumé and profile; we never invent experience. When a form requires something neither your résumé nor your profile has, we don't make it up: that application counts as not sent (no credit used), your dashboard says what's missing, and once you add it you can send it again.
- When a site emails a verification code, we read it in your CoolMind address, or in your Gmail if you connected it: only what the employer or its hiring system sent you in the last 15 minutes.
- Unless you connect Gmail, your applications give employers your CoolMind address: everything sent to it is forwarded to the email you sign in with (you can turn that off on the Mailbox page), and kept 7 days, then deleted; attachments are forwarded with it but never kept.
- When a site needs a candidate account first, we use the email your applications give and the employer-site password you set in CoolMind.
- An application counts as sent when the employer's page confirms it, or the employer emails a confirmation.
- After 2 failures on the posting's side, or for want of its emailed code (it never came, or went to another address), we stop applying to that posting for you.
- When none of the last 3 applications to a posting (anyone's) went through, or one found the posting closed, we mostly stop applying to it, and keep trying about 5% in case it works again; one that goes through opens it again. A failure on the employer's side counts at once; one that a single person's situation can explain (an old account on that site, a passing error) counts only once two different people have met it; the applicant's own never counts. An employer or hiring system where most applications fail is held the same way.
- A failed application uses no credit; your dashboard says why and what you can do next.
- You can stop an application in progress once a day.
- A screenshot of the employer's page after you applied and what was written for it are kept 180 days, under the application's proof.
The daily allowance
Illustration
- Each day (resetting at midnight US Pacific time) we score up to 600 jobs and send up to 200 applications for you.
- Why there's a limit: how many applications we can send each day is shared by everyone. A daily cap per person means everyone still gets applications sent every day as more people join; a few can't take it all.
- Applications count as attempts: sent and failed both count; one given back before it started doesn't.
- When your allowance is used up, there's nothing to do or buy: we carry on the next day.
- Your own allowance is at the top of your dashboard; an account's allowance can be set differently.
Credits
Illustration
- A new account gets 5 free credits, once per email address in 365 days.
- Each application the employer confirms uses 1 credit; a failed, unsent or stopped one uses none.
- The application being sent holds 1 credit until it's done; if it doesn't go through, the credit goes back to your balance.
- Credits are valid for 180 days from when you get them, the free ones too; the soonest to expire are used first.
- Share your referral code (on the Credits page): when someone new signs up with it, you each get 5 credits, and 10 more each when they first buy credits (at once, if they bought before using the code). One code gives credits for up to 15 people. An account can use one code, before its profile is set up or within 7 days of signing up, and never its own.
- Out of credits, applications pause; scoring carries on, and pauses too once 200 scored jobs are waiting to be sent, or 200 have been scored since your credits ran out. Buy credits and both start again.
- Credits come in one-time packs, not a subscription; prices and how long credits last are on the Pricing page. Credits are deleted with your account.
- Credits you buy aren't refunded. If something isn't right, or you think you were charged by mistake, write to [email protected] and we'll look at it ourselves; where the law gives you a right to a refund, we honor it.
Credits and the daily allowance are different: a used-up allowance comes back tomorrow by itself; with no credits, nothing is sent until you buy more.

Your résumé is read by a model when you upload or paste it, at most 10 times every 30 days; a read that fails counts too.
