What does CoolMind do?

Upload your résumé and tell us what you're looking for. CoolMind finds suitable US jobs, scores each one, and fills in and submits the application on the employer's site for you. Every application has a receipt, under Applications.

What language are applications in?

Everything that goes to an employer — your résumé content, the answers on the form, cover letters — is in English. The CoolMind site itself can be in Chinese or English.

What's the difference between "I'll review" and "Full auto"?

  • I'll review: we pick for you only when you ask ("Refill now" under Waiting for a score). You can also find jobs in search; only those you add or approve are applied to.
  • Full auto: each day we pick and score new jobs that fit your preferences, and apply to those that reach your minimum score.

You can switch at any time with the Mode switch at the top of the Applications page.

Is there a limit on scoring and applying?

Each day has a scoring allowance and an applying allowance, reset at midnight US Pacific time. Jobs beyond the allowance wait until the next day.

How do credits work?

Each application the employer confirms (on its confirmation page or by email) uses one credit; one that fails or is never sent uses none. When you run out, applications pause; scoring carries on until a long line of scored jobs is waiting to be sent, or many have been scored since your credits ran out, then pauses too, and the Applications page says so. Buying credits starts both again. Pay on a secure checkout page. Prices are in US dollars. Credits are valid for 180 days from when you get them, and the soonest to expire are used first. Invite friends with the referral code on your Credits page: when someone new signs up with it, you both get credits, and more when they first buy (the Credits page shows how many); like the free credits for a new account, referral credits are used before bought ones and are never refunded. Credits you buy aren't refunded either. If you're not satisfied, or think you were charged in error, write to [email protected]; we look at each case ourselves. Where the law gives you a right to a refund, we honor it.

Why didn't some applications go through?

Every application that didn't go through says why — for example, the job closed, the form couldn't be completed, or it needed an email code we couldn't get — and what you can do next:

  • It needed a mailbox: set one up on the Mailbox page, then send it again.
  • We could no longer read your mailbox: if your Gmail connection lapsed, reconnect it (on Google's page, tick “View your email messages and settings”) or switch to your CoolMind address, then send it again; if the problem was on our side, just send it again.
  • The site asked for something your profile doesn't have yet: where the profile has a box for it, fill it in, then send it again; where it has none (a driver's licence number, say), apply to that one yourself.

For the others we suggest applying yourself with the job's link.

Why a CoolMind address, or connect Gmail — and how is my privacy protected?

Some hiring sites (such as Greenhouse, Lever, and Workday) email verification codes or activation links while you apply. CoolMind enters the code or opens the link for you, so applications give employers an address we can read; you choose which on the Mailbox page:

  • Your CoolMind address (the default): your own address at CoolMind, nothing to connect. Everything employers send to it is forwarded to the email you sign in with; replying reaches them directly. You can turn forwarding off on the Mailbox page. We read only what an application's employer sent in the last few minutes. Messages are kept briefly, then deleted; attachments are forwarded with it but never kept.
  • Your own Gmail (optional): connect it, and applications give your Gmail address instead.

If you connect Gmail, we enforce strict technical and privacy guarantees:

  • Google restricted read-only scope: Granted restricted read-only permissions only. CoolMind has no capability to send, modify, or delete emails;
  • Sender and time fencing: Only while an application is waiting on a verification email, or right after one is sent to check for the employer's confirmation email, does CoolMind look at mail from that employer or its hiring system, sent within the last few minutes. Personal, work, and financial mail is never scanned or accessed;
  • Nothing kept from your mail: the code or link is used in the form and never stored, and email text is never stored. Of a confirmation email we keep only the sender's domain and when it arrived;
  • Revoke anytime with one click: Connecting is completely optional. You can disconnect anytime on the Mailbox page — your applications then use your CoolMind address — or revoke permissions directly in your Google Account settings. See the privacy policy.

Can I watch an application?

Yes. You can watch it live and take over if needed; afterwards you can see its recording, and a screenshot of the confirmation page as its receipt. How long the screenshot and what was written for the application are kept is on How CoolMind works; then they are deleted, while your application history stays until you delete your account. See the privacy policy.

How do I avoid certain companies?

Add them to "Companies you will never apply to" in your preferences. Their jobs still appear in recommendations, marked, but are never picked or applied to — unless you change your mind and add one yourself.

How do I export or delete my data?

Under Account & data you can export everything we hold about you, or delete your account. Deleting removes your profile, résumé and application records; the privacy policy says how long anything is kept.
